Create Your BEST POS Account (Administrator and Cashier)

1) Prerequisites

  • Access to BackOffice with an existing admin account.

2) Create an Administrator account (BackOffice)

  1. Open BackOffice > Users and click New.
  2. Enter Name, Email, and optionally Phone.
  3. Assign Role = Administrator (full access) or a limited admin role per policy.
  4. Tick Require password reset at first login.
  5. Click Send invite. The user receives a password setup link.

3) Create a Cashier account (POS)

  1. In BackOffice > Users, click New.
  2. Enter Name and Login (email recommended; otherwise internal ID).
  3. Assign Role = Cashier (or Store Manager if elevated permissions are needed).
  4. Set register restrictions (max discounts, voids, returns) as required.
  5. Click Create / Invite to email the password link.

4) First sign-in for the invited user

  1. Open the invitation email and click the link.
  2. Create a password that meets policy (length, upper/lowercase, number, special if required).
  3. Sign in to BEST POS (BackOffice or POS) with the new credentials.
  4. Verify the role and expected menu access.

5) Security: enable Two-Factor Authentication (2FA)

  • In My profile > Security, enable 2FA via authenticator app (time-based code) or SMS if available.
  • Save and store recovery codes for lost-device scenarios.
  • Make 2FA mandatory for Admin and Manager roles whenever possible.

6) Checks and best practices

  • For Cashiers, run a test sale (screens, printing, payment terminal connectivity).
  • For Administrators, verify access to settings, user management, and reports.
  • Document password policy and reset cycle (e.g., every 90 days).

  • Invite not received: confirm email, check spam; resend invite from Users.
  • Link expired: generate a new invitation link.
  • Over-privileged access: lower the role (Cashier/Manager) or apply restrictions.
