Step-by-step Instructions
1) Prerequisites
- Barcode/card reader connected and recognized by the POS.
- The customer exists in BEST POS (see “Create / edit a customer” if needed).
- Rights to edit customer profiles.
2) Add a card / ID to a customer
- Open Customer > Search, select the customer, then Edit.
- Place the cursor in the Card / Customer ID field.
- Scan the card/barcode or type the identifier.
- Click Save.
Check: the ID displays on the profile; a beep/confirmation may appear on scan.
3) Replace a lost / damaged card
- Open the customer (Search > Edit).
- Remove the old ID (click Remove or clear the field) and Save.
- Focus the ID field, scan the new card, then Save.
- Add a note (e.g., “Card replaced YYYY-MM-DD”).
Option: if supported, blacklist the old card.
4) Remove a card / ID permanently
- Open the profile, clear the ID field, and Save.
- Warning: if a loyalty or access program uses the ID, assess impact and transfer to another ID first.
5) Variants (if applicable)
- Quick create by card: at the register, scanning a card can start a quick create (depending on settings).
- Multiple cards per customer: when allowed, link a secondary card (e.g., spouse). Document in Comments.
- ID format: enforce a prefix (e.g., CLT-) or min length per policy.
Fixes and FAQs
- ID already in use: duplicate warning. Scan a different card or free the ID on the other profile, then retry.
- Scan produces nothing: test the reader in a text editor, verify field focus, check cable/USB.
- Extra characters: disable the reader’s CR/LF/Tab suffix or adjust settings.
- Unsupported barcode type: enable the needed symbology (e.g., Code128, EAN13) on the reader.
- Removed but still active: reload the profile, ensure no secondary ID holds the code, clear cache if required.
