Customer Groups: Create, Assign and Effects (pricing, taxes, promos) in BEST POS (Retail)

Summary

This article explains how to create customer groups, assign customers to groups, and understand group effects at the register (pricing, taxes, promotions, permissions). It includes naming and maintenance best practices.

Step-by-step Instructions

1) Prerequisites

  • Access to Back Office and customer admin rights.
  • Existing price levels (P1–P4) and tax groups.
  • A segmentation policy (e.g., Retail, B2B, VIP, Non profit).

2) Create a customer group

  1. Open Back Office > Customers > Groups (or equivalent).
  2. Click New and provide a clear name (e.g., “B2B P3 Exempt”).
  3. Set available defaults: price level, tax group, discounts, permissions.
  4. Save. Check: the group appears and can be selected on customer profiles.

3) Assign a customer to a group

  1. From register or Back Office: Customer > Search, open the record and click Edit.
  2. In Segmentation / Group, choose the group.
  3. Verify/adjust inherited Price level and Tax group if needed.
  4. Save. Check: the profile shows the group; rules apply on the next attached sale.

4) Effects at the register

  • Pricing: the group’s price level applies unless an item promo is lower.
  • Taxes: the customer’s tax group may be defined by the group (e.g., Exempt).
  • Targeted promos: some promotions can target a group (e.g., VIP).
  • Permissions (when supported): caps, allowed tenders, etc.

5) Variants and upkeep

  • Naming: encode key rules in the name (e.g., “VIP P2 StdTax”).
  • Bulk update: use CSV import to move customers into a new group.
  • Periodic audit: export customers by group, verify price/tax consistency, fix outliers.

Fixes and FAQs

  • Wrong price: check the group, the profile’s price level, and active promos.
  • Unexpected tax: verify inherited tax group and that the customer is attached to the sale.
  • Promo not applied: confirm promo targeting by group and validity dates.
  • Change not reflected: reattach the customer and press Subtotal to recalc.
