BEST POS - Customer notes and alerts register pop up

Customer Notes and Alerts: Create and Display at the Register in BEST POS (Retail)

Summary

This article shows how to add notes and alerts to a customer record, control their register pop-up, set the level (info, warning, block), and apply best practices (expiry, privacy, accountability).

Step-by-step Instructions

1) Prerequisites

  • Rights to edit customer records and manage alerts.
  • Internal policy on allowed content (avoid unnecessary sensitive data).
  • Register display option enabled for notes/alerts when supported by your build.

2) Create an informational note (non-blocking)

  1. Open Customer > Search, select the customer, then Edit.
  2. In Notes / Comments, enter a clear, concise note (e.g., “Request PO number”).
  3. Enable Show at register and choose frequency: every attach or once per day.
  4. Save. Check: when attached, an info pop-up appears; cashier can proceed.

3) Create an alert (warning or block)

  1. On the profile, add an Alert and set the level:
    • Warning: pop-up requiring acknowledgment; sale may continue.
    • Block: prevents sale until a manager override or condition is cleared.
  2. Write an actionable message (e.g., “Require 50 percent deposit”).
  3. Set an expiry date or removal condition (e.g., after payment).
  4. Save. Check: the alert displays according to level.

4) Display and use at the register

  • When the customer is attached, the pop-up shows. Cashier chooses OK, View details, or Continue depending on level.
  • Audit logs may record who viewed or dismissed an alert (when supported).
  • If a reference is required (PO/Job), the alert can remind to enter it before Subtotal.

5) Upkeep and best practices

  • Expire or remove alerts once resolved (e.g., balance settled).
  • Standardize short phrases and prefixes (e.g., “WARN”, “BLOCK”).
  • Avoid sensitive personal data; state the action required instead.
  • Restrict override permissions to managers and record a reason.

Fixes and FAQs

  • Alert does not display: verify Show at register, user permissions, and that the customer is attached.
  • Too many pop-ups: switch to once per day or shorten the text.
  • Cashier can bypass a block: limit override to manager role.
  • Non-compliant content: edit the note to remove sensitive details and use neutral wording.
  • Alert stays after resolution: remove or set an expiry date
