Invoice References (PO/Job) at the Register in BEST POS
Summary
This article shows how to enter, display, and control invoice references (PO, Job, work order) directly at the register. You’ll learn to enforce reference required for selected customers, print it on the receipt, include it in exports, and edit before completing the sale.
Step-by-step Instructions
1) Prerequisites and settings
- Permission to edit invoice details at POS.
- B2B customers configured with Reference required when needed (PO/Job).
- Receipt template includes the Reference field (PO/Job) if you want it printed.
2) Enter a reference (PO/Job) during the sale
- Attach the customer to the sale.
- Click Invoice info (or Reference depending on your label).
- Type the reference value provided (e.g., PO-45872 or JOB-ACME-2025-014).
- Save. The reference displays in the header and will print/export with the sale.
3) Enforce reference required for selected customers
- In BackOffice, open the customer record.
- Enable Reference required and choose the type (PO, Job, Other).
- Save. At POS, the sale cannot be completed without a reference.
4) Edit or correct before completion
- Open Invoice info again, update the reference, and save.
- If a format rule exists (e.g., prefix PO-), follow it to avoid blocking.
5) Print, export, and search history
- On the receipt, the reference prints under the customer block if the template includes it.
- In reports/exports, the reference flows to accounting and B2B billing.
- Use History to search by reference number to quickly locate related sales.
Fixes and FAQs
- Cannot complete sale: the customer has reference required; add it via Invoice info.
- Reference rejected: format rule not met (e.g., missing prefix); correct and save.
- Reference missing on receipt: add the field to the print template or recheck entry.
- Search returns nothing: use History filter by PO/Job or by customer.
