Loyalty Programs: Enroll a Customer and Use Points in BEST POS
Summary
This guide explains how to enroll a customer in a loyalty program, earn points during a sale, check the balance, and redeem points as a discount at the register. It also covers accrual rules, expiration, item exclusions, and end-of-day controls.
Step-by-step Instructions
1) Prerequisites and settings
- Loyalty program enabled in BackOffice (accrual rules, conversion rate, expiration).
- Role permitted to edit customer profiles and apply loyalty rewards.
- Configured exclusions (items, categories, promotions) per policy.
2) Enroll a customer
- At POS, attach the customer (search or create).
- Open the customer record and enable Loyalty program = Yes.
- Fill required contact fields (email, phone) for statements.
- Save. The customer is now eligible to earn.
3) Earn points during a sale
- Process the sale with the customer attached.
- At Subtotal, confirm the estimated points (if shown).
- Complete payment. Points earned are posted automatically (excluding ineligible lines).
4) Check points balance
- From the customer record, open Loyalty to view balance, transactions, and expiration dates.
- At POS, use View points (if available) for a quick check.
5) Redeem points as a discount
- With the customer attached, click Loyalty reward.
- Select the points amount to redeem or the equivalent value (per conversion).
- The discount applies to the basket. Verify taxes and totals.
- Complete the sale. The points balance updates.
6) Adjustments, expiration, and corrections
- Manual adjustment (manager): add/deduct points with a logged reason.
- Expiration: expired points are unusable; send reminders before expiry.
- Returns: earned points are reversed; if points were redeemed, recalc the credit value.
Fixes and FAQs
- No points earned: ensure the customer is enrolled and attached; check exclusions.
- Incorrect balance: review transaction history, recent returns, manager adjustments.
- Redemption denied: insufficient or expired points; verify conversion settings.
- Conflict with promo: non-stackable rules apply; choose promo or loyalty reward, not both.
