Quick Sale: Scan, Search and Add Items in BEST POS

Summary

This article explains how to create a quick sale: scan barcodes, search by SKU or description, add variants (size, color), set quantities and units, add line notes, and subtotal before tender. It includes performance tips and price/tax checks.

Step-by-step Instructions

1) Prerequisites

  • Barcode scanner configured (USB/HID) or keyboard emulation.
  • Role permitted to sell and view prices/taxes.
  • Up-to-date item master (codes, variants, price levels).

2) Scan a barcode

  1. On the register screen, focus the scan field.
  2. Scan the item: a line is added with quantity 1, price and tax per configuration.
  3. Repeat for each item. Use F2 (or the dedicated button) to adjust quantity if needed.

3) Search and select an item

  1. Click Search and type a SKU, UPC or a word from the description.
  2. Filter by category or division when available.
  3. Select the item. If variants exist, choose the correct variant before adding to the sale.

4) Quantities, units and line notes

  • Quantity: edit the quantity cell or use +/- buttons.
  • Units: for weighted/measured items, choose the correct unit (e.g., kg, m, L) and enter the value.
  • Notes: add a line note (e.g., “Cut 1m”) for fulfillment instructions.

5) Price and tax checks

  • Verify the customer price level (P1–P4) and any promotions.
  • Confirm the tax group; changing customer/ship-to may alter taxes.
  • Avoid manual price overrides without authorization (see the Price overrides article).

6) Subtotal and validate before tender

  1. Click Subtotal to recalc totals, discounts and taxes.
  2. Review the summary then proceed to tender (see Payment methods and Split payments articles).
  3. Use Park / Hold when you need to pause and resume later.

Fixes and FAQs

  • Scan does nothing: ensure the scan field is focused; test the scanner in keyboard mode (does the code appear?).
  • Item not found: broaden the search (partial SKU, description); verify division and variant.
  • Wrong variant: reopen the variant picker and reselect.
  • Unexpected price: check price level and promos; click Subtotal to recalc.
  • Wrong tax: confirm customer and ship-to when it is a delivery sale.
